Ceviche MCP reads thirteen kinds of record. They are the same records you see in Ceviche, under the same names and statuses. This page lists each one, with the fields an answer can draw on and the ones that are left out on purpose.

Spending

KindWhat it isDate it filters onAmount
Bill (transaction)A bill or other spend record: vendor, reference number, invoice date, due date, approved date, total, currency, description, notes, and how it is coded. A correcting entry is a 0.00 bill whose lines carry signed changes to an earlier bill.Invoice dateThe bill total, before any line is taken out. Fetching the bill also gives the amount that is actually split.
LineOne line of a bill: amount, description, project and coding. The bill's invoice dateThe line amount
Split (allocation)How a line, or a whole bill, is split across funds and other entities. Only the current split is returned, with each entity's share, the amount the shares should add up to, and whether they do. Bill, line and split statuses

These are the words the transactions page uses. The assistant shows the word in the first column, never a code.

StatusMeaning
NewNot split to any fund yet
DraftSplit saved, not sent for approval (or sent back)
Pending ApprovalWaiting for approval
Ready to InvoiceApproved, not on a fund invoice yet. Teams that don't use approvals see this as Pending Invoice.
Invoice In ApprovalOn a fund invoice that is itself waiting for approval
Invoice OpenOn an open, unpaid fund invoice
Invoice PaidThe fund invoice is paid
ManCoSplit wholly to the management company, so it is never invoiced
HeldWholly on a project's holding entity, waiting to be settled to funds
SettledWas held, and has since been settled out to funds
MixedA bill whose lines aren't all at the same status
ExcludedA line taken out of its bill, or a bill with every line taken out
VoidedA voided bill

Voided bills are left out of every search and every total unless you ask for them by name ("include voided bills"). The answer says so when it applies.

Excluded lines are left out of spend and split totals unless you ask for them. Bill totals still count the bill at its full amount. The answer says which rule it applied.

Things to know about dates and amounts

  • Some bills have no date. A bill with no invoice date falls outside every date filter, so it isn't in any month, quarter or year. When a dated total leaves such bills out, the answer says how many there are. Ask for "bills with no date" to list them.
  • Quarters and years are calendar periods. Q3 2026 is July to September 2026. "2026" is the calendar year. Ceviche doesn't store your fiscal year, so a fiscal-year question needs the dates spelled out ("July 2025 to June 2026").
  • Credits are negative amounts. A credit bill, a refund, or a credit line inside a bill has an amount below zero. Ask for credits or refunds directly; a size filter alone ("over $1,000") compares sizes and finds both.
  • Amounts never mix currencies. Totals come back per currency and are never added together or converted.
